How to change the order status and the install status of the products

Written by Ashok P

All products in a new project have their order status set to "Unordered" and their install status set to "Not scheduled."

As you plan to install the products in the project, you can update each product's order status and install status under "Details > Item Status" in the Project Details view.

  • Order status helps you identify which products are in stock and which you need to order.

  • Install status helps you plan product installation.

Check out this article for more details.

Product-View options

You can view the products using the following options in the Item Status view.

  • Phase: You can view products by their phases.

  • Search: You can search for products by name or description.

  • Group: You can group products by location, system, phase, change order, brand, supplier, and order or install status.

  • Filters: You can filter products by locations in the project, systems, brands, categories, suppliers, inventory-tracked status, order status, install status, and item-reservation status.

Item Status views

You have two views under the Item Status tab:

  • "Ordering" view to plan and track product availability and procurement, and reserve inventory-tracked items for the project

  • "Scheduling" view to plan for product installation

Both views share similarities in how they show the phase selector, search box, grouping options, and filters.

Clicking a product in any view opens a side panel to update the product's ordering and scheduling details.

In both views, you can see an Amber alert icon next to the view selector. Click the icon to see alerts related to the products in the project.

Ordering view

Click the "Ordering" tab at the top-right corner to see the Ordering view. Here, you will see the following ordering-related details.

  • A status bar showing the percentage of products by order status, weighted by each product's quantity.

  • The supplier and purchase order (PO) details, shipment ETA, and current order status in a table.

  • An "Order" button that lets you do the following in bulk: reserve inventory items, change order status and install status, assign suppliers to products, and add products to PO.

You can use the product viewing options listed here and do the following in the Ordering view.

#1 Change Order status

Select multiple products and click "Change order status" under the "Order" button.

  • You can mark products as Ready to Order and later order all of them at once by filtering products using the Order status filter.

  • You can mark products as In Stock, filter in-stock products in the Scheduling view, and schedule their installation.

Cloud updates other order statuses, "Draft," "Ordered," and "Received," automatically based on the status of the relevant POs under "Procurement > Purchase Orders."

  • Changing a PO status to "Ordered" automatically updates the order statuses of the products in the project. If the PO includes products across multiple projects, this change applies to all relevant projects.

  • Changing a PO status to "Received" automatically updates the order statuses of the products in the project. If the PO includes products across multiple projects, this change applies to all relevant projects.

#2 Reserve inventory-tracked items

If the project includes inventory-tracked products, you can see the available quantity in the "Available" column. If the required quantity is available, you can reserve them for the project.

Select one or more products, click "Manage inventory items" under the "Order" button, and reserve the required quantity of pool-tracked and asset-tracked items.

Check out these articles for more details.

#3 Assign suppliers

Select one or more products and click "Assign/Change supplier" under the "Order" button.

Cloud displays a dropdown to the left of the Order button to select and assign the supplier.

#4 Order products

Select one or more products and click "Order" under the "Order" button.

Cloud displays a modal to assign a supplier if a product doesn't have one, then lets you add the product to existing or new POs.

#5 Set Needed By date

You can set a "needed by" date for a product to tell the procurement team when you need it, so it can be installed on time.

  • If you set the order status of products with a needed-by date to "Ready to Order," the needed-by date appears on the Ready to Order page.

  • When you add products with a needed-by date to POs, the dates appear on the PO, so procurement can expedite shipments if the standard ETA is beyond the needed-by date.

Select a product and set a date next to "Needed By Date" in the side panel.

After you add the product to a PO and set the ETA date, Cloud displays the ETA date next to the needed-by date.

Scheduling view

Click the "Scheduling" tab at the top-right corner to see the Scheduling view. Here you can find the following scheduling details.

  • A status bar showing the percentage of products by install status, based on each product's quantity.

  • The estimated install date, actual install date, install status, and tasks relevant to the product's installation.

  • A "Schedule" button that lets you do the following in bulk: reserve inventory items, change install status, and assign suppliers to products. You can also set an estimated install date per product.

By default, the Scheduling view shows products that are in stock, ordered, and received. This ensures you see only products ready for installation.

You can clear the "Order Statuses" filter to see all products in the project.

You can use the product viewing options listed here and do the following in the Scheduling view.

#1 Reserve inventory-tracked items

If you haven't reserved inventory-tracked products in the Ordering view, you can do so in the Scheduling view.

Select one or more products, click "Manage inventory items" under the "Schedule" button, and reserve the required quantity of pool-tracked and asset-tracked items.

Check out this section in this article for more details.

#2 Change Install status

Select one or more products and click "Change install status" under the "Schedule" button.

You can update the install status depending on whether you use all install statuses or only some.

#3 Set the estimated install date

You can set an estimated install date for a product to map the project schedule and assign technicians based on their availability.

Select the product, click "Estimated install date" under the "Schedule" button, and set a date. You can see this date in the "Est. Install Date" column.

#4 Schedule product installation

Select a product and click "Schedule for installation" in its side panel.

You can see all tasks created for the project. Click one or more tasks relevant to the product, and Cloud will associate them with the project.

In the following example, the products are filtered by a specific location, and a location-relevant task is associated with a product.

Once you associate tasks with a product, Cloud moves the product's install status to "Planned," and you can see the tasks in the "Tasks" column in the table.

To schedule the installation, go to the project's "Plan > Scheduling" tab, then create and schedule an event, assigning an installer to it.

Download project reports

In the Ordering and Scheduling views, you can download three project reports by clicking the "Order" or "Schedule" button.
