Viewing the overall schedule on Global Calendar

How to view the overall schedule by resource, project, and month using the Global Calendar functionality

Cloud has the "Global Calendar" functionality, which provides a mash-up view of the overall schedules of your Office users and Field users. You will be able to see project tasks, meetings, service calls, and to-dos, along with their associations with projects and resources, in a single view.

The events displayed on the Global Calendar show an icon to help you determine the event type, as shown in the following image.

Global Calendar has three distinct views—Resource view, Project view, and Month view.

Resource view

The Resource view shows the overall schedule by resource. In the Resource view of Global Calendar, you can do the following.

See the schedule by resource

You will see all the Office users and Field users listed vertically on the left. On the right, you will see their weekly schedule: meetings, to-dos, project tasks, and service calls.

Each column represents a day of the week, and each cell represents the schedule for a resource. The column for the current day is highlighted in Blue.

  • You can click "Hide Weekend" and see the schedule only for the weekdays.

  • You can navigate between weeks by clicking the "<" and ">" buttons in the top-left corner.

  • If you want to update an event, click it. This will open a modal for you to update its details.

Add meetings, calls, and to-dos

If you want to add a meeting, service call, or to-do in this view, click one of the following in the top-right corner and add it.

  • Create event - click this to add a meeting (one-time or recurring), specify the date, time, attendees, and location.

  • Service call - click this to log a service call for an account, set the call schedule, and add basic issue details.

  • To-do - click this to add a to-do with a due date and assign it to a resource.

Filter events

You can filter the weekly schedule by event type, project, and the priority assigned to the event.

Search for events

You can search for specific events by entering the search criteria in the Search box in the top-left corner.

Project view

The Project view shows the overall schedule by project. In the Project view of Global Calendar, you can do the following.

Set view duration

Select one of 1 month, 6 months, or 12 months to set the duration of the schedule.

Filter project schedule

You can filter the list of projects by stage, project manager, and schedule by specific phases.

See the schedule by project

On the left, you will see all projects for the selected duration and filters.

If you have not yet assigned the project's start and end dates, you can do so by clicking "Start date" and "End date."

Once you have set the start and end dates, you will see the options to set the start and end dates for the phases. After you set the start and end dates for phases, Cloud will show them in the Gantt view.

Search by account

You can search for specific projects by the accounts they are associated with by entering the search criteria in the Search box in the top-left corner.

Month view

The Month view shows the overall schedule by month. In the Month view of Global Calendar, you can do the following.

See the schedule by month

You will see the schedule for the current month. Each cell represents a day in the month and will show 2 events. The cell for the current day is highlighted in Blue.

  • If there are more than 2 events, you can click the "More" button in the cell. This will open a side panel showing all events for the day.

  • You can navigate between months by clicking the "<" and ">" buttons in the top-left corner.

  • If you want to update an event, click it. This will open a modal for you to update its details.

Add meetings, calls, and to-dos

The steps to add a meeting, service call, or to-do in the Month view are similar to those in the Resource view.

Search for events

You can search for specific events by entering the search criteria in the Search box in the top-left corner.

If you want to change the scale of the temperature shown on the Temperature icon on the Calendar, go to "Settings > Account > Regional Format" and select the scale in the Temperature Scale dropdown.
