How to Deactivate a User in D-Tools Cloud

When a team member leaves or no longer needs access, you can deactivate them in just a few clicks. Here's how, plus one important step so you don't keep paying for a license you no longer need. Written by Megan Campbell

Before You Begin

To deactivate users, you must be an Admin or have the Manage Account and Subscription permission enabled.

If you can't see the option to deactivate a user, ask an Admin on your account to grant you the right permission.

Deactivate an Office User

  1. Go to Settings → Account → Users & Permissions.

  2. Scroll down to the Office Users table.

  3. Hover over the user you want to deactivate and click the ellipsis (...).

  4. Select Deactivate.

See how to deactivate an office user from the Users & Permissions page.

Deactivate an Field User

  1. Go to Settings → Account → Users & Permissions.

  2. Scroll down to the Field Users table, below Office Users.

  3. Hover over the user you want to deactivate and click the ellipsis (...).

  4. Select Deactivate.

See how to deactivate a field user from the Users & Permissions page.

💡 Tip: Need a field user to have office access instead? Select Promote to office user from the same menu instead of deactivating them.

Don't Forget to Update Your Subscription

🚨 Important: Deactivating a user only removes that person's access. It does not remove the license from your subscription or change your bill.

If you don't plan to replace this user, reduce your user count so you're no longer billed for the license:

  1. Go to Settings → Account → Subscription Plan.

  2. Select the option to manage your subscription.

  3. Find the office- and field-user options in the Purchase Summary.

  4. Use the +/- controls to reduce the number of office or field users.

  5. Review the updated quantities, subscription total and effective date.

  6. Select Update Subscription to confirm the reduction.

💡 Tip: Replacing a team member? You don't need to change your subscription. Deactivate the old user and invite the new one. They'll use the open license.

Important Things to Know

  • Deactivating doesn't reduce your bill. To stop paying for the license, you also need to lower your user count on the Subscription Plan page.

  • Check your open licenses at a glance. Next to each table on the Users & Permissions page, you'll see how many office or field user licenses you have left (for example, "3 office user(s) remaining").

  • Office and field users are managed separately. Make sure you deactivate the right user type and reduce the matching license count.
