Applying warranty to an asset-tracked item

How to apply one or more levels of warranty to asset-tracked items

You may want to track the warranty coverage of the items you have installed for projects. Cloud has a "Warranty Management" feature, coupled with Inventory Management, to help you apply warranties to asset-tracked items.

You can apply multiple warranty layers, with coverage running in parallel or starting after a previous warranty level expires. For example, a first layer of "Manufacturer" warranty from 10 October 2026 to 10 October 2027, followed by a second layer of "Extended" warranty from 10 October 2027 to 10 October 2028.

For each warranty, you can set the terms and claim limits, specify when coverage starts, scope the warranty to parts and labor, parts only, or labor only, and capture the item's registration details when it is registered for warranty.

You can apply warranty to assets one by one or select multiple assets of the same model and apply common warranty parameters in bulk.

If you want to apply warranty at the category or subcategory level for an asset-tracked item so all items in the subcategory inherit the warranty, check out this article.

Apply warranty to one asset

To apply warranty to an asset:

1/ Go to "Inventory" in the left navigation menu.

2/ Click an asset-tracked item and click a specific asset.

3/ Click the "Warranty" tab and click "Add warranty" on the left.

4/ In the side panel, do the following:

a/ From the "Coverage type" dropdown, select one of the following warranty types: Manufacturer, Extended, or Other.

If you select Other, add a warranty name.

b/ Retain or change the provider. You may want to change the provider if the manufacturer does not provide the warranty.

c/ In the "Provider contact" text box, enter the contact details of the warranty provider.

d/ From the "Start Anchor" dropdown, select when the warranty coverage will start. You can choose from the following: Install date, Purchase date, Manufacture date, Specific date, or After previous layer.

  • If you select Install date, Manufacture date, or Specific date, you need to specify a start date for the warranty.

  • If you select After previous layer, you will see a "Previous coverage layer" dropdown to select the previous warranty layer after which this warranty will start.

e/ In the Term section, enter the term in years, months, or days.

f/ From the "Scope" dropdown, select the scope of the warranty from one of the following: Parts & Labor, Parts Only, and Labor Only.

g/ In the "Certificate" text box, enter the number of the warranty certificate.

h/ In the "Vendor" and "Purchase order" text boxes, enter the relevant details.

i/ In the "Cost" text box, specify the cost of the warranty.

j/ In the "Warranty terms" text editor, enter the terms of the warranty. You can use snippets if needed.

k/ In the "Claim limits" text box, enter the limits to claim the warranty.

l/ In the "Notes" text box, enter notes if needed.

m/ In the "Documents" area, upload the documents related to the warranty.

4/ Set "Registration required" to ON if the warranty needs to be registered with the warranty provider.

If you set "Registration required" to ON, you need to specify the registration window, registration date, and registration URL.

5/ Select "Set as the primary warranty for this asset" if this warranty is the primary warranty.

6/ Click "Save."

The following screenshot shows two warranty layers applied to an asset: Manufacturer and Extended.

  • You can also see the warranty coverage timeline at the top, including the start and end dates and the status of the layers.

  • Click the down arrow next to a warranty layer to view all warranty details.

  • You can edit the details or delete the layer if needed.

Apply warranty to multiple assets
