The following are the FAQs about enabling the Automation features that are available with the D-Tools Payments solution.

Q: What are the Automation features available with the D-Tools Payments solution?

A: You can leverage four Automation features that can significantly reduce your efforts in managing the accounting for projects and service offerings.

  1. Project Invoice automation - automatically creates invoices in QBO when project payment invoices are created on Cloud.

  2. Service Contract Invoice automation - automatically creates invoices in QBO when service contract payment invoices are created on Cloud.

  3. Transaction Fee automation - automatically marks invoices as "Received" in QBO and creates journal entries for transaction fees daily.

  4. Convenience Fee automation - automatically creates journal entries for convenience fees collected for debit and credit card payments daily.

  5. Auto Pay - automates the collection of recurring service contract payments when the Invoice Creation automation is enabled for service contracts.

Q: Which of these Automation features are enabled by default?

A: The Auto Pay and Convenience Fee automation features are enabled by default. You can enable other features manually if you want to use them.

Q: Do these Automation features work with all Cloud-Supported Accounting platforms?

A: No. Currently, they work only with QuickBooks Online (QBO).


Project Invoice automation

Q: How does the Project Invoice automation work?

A: Project Invoice automation automatically creates invoices in QBO when project payment invoices are created on Cloud, provided the account exists in QBO, and the invoice modal has the "Create invoice with QuickBooks Online" check box selected.

Auto Pay

Q: What is Auto Pay?

A: Auto Pay is an Automatic Payment Collection feature that can automate the collection of recurring payments for service contracts and subscriptions.

Q: Is Auto Pay enabled by default?

A: Yes, Auto Pay is enabled by default, but your customer needs to opt into Auto Pay for their transactions to be memorized. You can disable Auto Pay at any time under Settings > D-Tools Payments > Payment Settings.

Q: How do I see which service contracts use Auto Pay to collect payments?

A: Click "Manage" in the Automatic Payment Collection area on the Settings > D-Tools Payments > Payment Settings page, and you will see a modal with the contracts where customers have enrolled for Auto Pay.
