Once the technician has resolved the issues reported during the call and completed it in the Field user view, the call moves to the “Ready for Invoice” status. You can now create the invoice for the call.
Create invoice
To create the invoice, navigate to the details view of the completed call. Click “Create Invoice” in the top-right corner. This will open a modal.
Do the following in the modal:
1/ Set the billing and due dates and edit the tax rate and truck roll fees if needed.
If you are creating a second invoice for a term because the transaction failed due to an ACH Return, you can set the "Add ACH Reject Fee" option to ON and charge the customer the ACH Return fee. You will see a line item for the ACH Reject fee on the invoice.
2/ Include a message for the customer and optionally apply this message to all future invoices.
3/ If a payment integration is enabled, it will populate here. Select it to allow the customer to make a payment for the service.
4/ Click “Create” to create the invoice.
Once an invoice is created for a call, Cloud locks all editing capabilities for that call, and you will not be able to make changes to the call log.
If you need to revise the invoice, check out this article.
Invoice details
In the invoice, you can change the terms, billing date, and due date. You can also add a message on the invoice for the customer, files relevant to the call, and internal notes.
The following other details on the invoice are read-only.
The name of the technician.
The original issue that was reported when the call was logged.
The actual issue, action taken, and next steps, as reported by the technician.
Products repaired, replaced, or newly installed at the site.
Labor type, labor hours, and the associated labor charges.
A breakup of the product, labor, tax, and truck roll fee.
If you enabled the QuickBooks Online (QBO) integration and selected the relevant settings, the custom message on the Cloud invoice will appear in the "Note to customer" field, and the internal notes will appear in the "Memo on statement" field on the QBO invoice.
