FAQ: How do my customers accept service plans?

A customer can view the service plans you add to the quote in the “Service Plan” section of the proposal. By default, this section is added at the end of the proposal. You can move this section in the proposal if needed.

The following instructions for selecting and accepting one or more service plans apply to both multimedia layout and quick quote layout proposals.

One plan

If the proposal has only one plan, the customer can view only that plan. They can view the plan features, plan length, and billing frequency options.

Multiple plans

If multiple plans are displayed on a proposal and any of those plans have alternate options, the "Recommended" plans are displayed at the top, with the alternate plans listed below.

By default, the alternate plans are not expanded. Upon clicking the "View alternates" arrow for a plan, the customer can view the features, notes, plan length, and billing frequency options of the alternate plans.

You can show the alternates by editing the "Service Plan" section in the Edit view of the proposal.

Selecting a plan

The recommended plan(s) are selected by default. All alternate plans will have “Select” buttons.

The customer can click the button next to the desired alternate plan to select it.

Plan Length and Billing Frequency

After clicking “Select” for a plan, the customer can choose the plan length and billing frequency.

Plan length and billing frequency options will display discounts if available. Cloud will display the amount payable by the customer, taking into account the discount applied to the plan length and the billing frequency selected by the customer.

If you have enabled the "Include service plans" option in the Pricing Summary section and the customer selects the One-Time billing frequency, Cloud will add the plan's total value to the project's total value.

You will need to collect the payment for the project by invoicing according to the project payment terms, and collect the payment for the plan by invoicing the service contract term.

Accepting terms and conditions

If you have enabled the "Require client agreement" option in the plan, the customer will need to select the "By checking this box, I state that I have read and understand these terms and conditions" option below the terms and conditions.

Otherwise, they cannot accept the plan, irrespective of whether it is a project or a service opportunity.

Accepting a plan

Accepting a service agreement or a monitoring agreement is part of the existing Proposal Acceptance process. The customer should click the “Accept Sign” button in the lower-left corner to accept the proposal and the plans selected within it.

A service contract is created for every accepted service agreement and monitoring agreement on Cloud. The contracts are listed under “Service > Contracts” in the left navigation menu. You can start the contracts based on your agreement with the customer.

Declining service plans

Service-Only proposal

For a Service-Only proposal, the customer does not need to complete the "Accept Sign" workflow. The opportunity is “Lost.”

Product and Service proposal

If the customer does not want any of the plans listed in a project proposal, they can click the “Decline plan” button for each recommended plan. You can remove the option to decline plans by turning this off within the edit menu for the service plan proposal section.

If they decline the plans and then complete the "Accept Sign" workflow, the opportunity is “Won,” but a service contract will not be created for the project.

When a service plan is declined, you will see a "Declined" label next to the plan in the Quote details view.
