D-Tools Cloud provides an easy way to share proposals instantly via email. The email will be sent from cloud@d-tools.com, but it will appear that it is from you and your company.
When you have created the proposal from the quote, you will see an "Edit proposal" button in the top-right corner. Click the 3-dot menu next to this button, then click "Share proposal."
This will open the Share Proposal view so you can compose and send the proposal via email.
You can do the following to send the proposal via email.
#1 Write the proposal email
You have two options for writing the email.
Write the email on the fly
Enter the emails of the customer contacts in the "To" and "Reply to" text boxes and add the subject line. Add the body and signature of the email using the text editor.
Use an email template
Consider using email templates to avoid writing emails on the fly. The email template brings a subject, email body, and signature whenever you are on the Share Proposal page.
Before sending the email, you can add the specifics of the project, such as the customer's name and email.
Learn more about Templates for proposals and change orders emails.
When writing the email, you can use the "@" character on the keyboard to invoke a list of data tags such as client name, contact name, quote specifics, and proposal end date. When added to the email, they will automatically populate the relevant data in the email.
You can add the data tags in the proposal email templates so you don't have to add them repeatedly in the proposal emails.
#2 Set sharing options
Sharing options in the left pane helps you control how the proposal is shared. You can specify the following:
Restrict or allow contacts from downloading the proposal.
Set an end date for the customer to review the proposal.
Set up to two reminders for the contacts to review the proposal.
Check out this article for more details about setting end dates and reminders for proposals.
#3 Preview email
It is good practice to preview the email and see how the customer contacts see it. Click the "Preview" icon in the top right to preview the email.
#4 Send the email
Select the "Send copy to" check box to send the proposal email to team members.
When you're ready to send the email, click Send.
Customer view for shared proposals
When customers click the Proposal URL in the email, the proposal opens in the browser. After reviewing the proposal, they can click "Accept & sign" to tell you they have approved it.
Once a contact opens the proposal, you will see the Analytics data for proposal views.
