How Quote Assist behaves, and what to do when it does not do what you expected

Does Quote Assist change my existing quote?

Only in ways you approve. On a quote that already has items, it adds new lines freely, but where it thinks a planned item should take the place of a line already there, it flags it as a replacement and waits for you. Nothing is swapped or deleted without your click.

Why is an item missing from my quote?

Three likely reasons, in order.

  • It is sitting in your review list. Check the flagged rows in each room and the review banner at the bottom of the Items page. A line that came back as No match or Failed was never added. See Quote Assist: Reviewing the items it added.

  • Your sources did not say it. Quote Assist only quotes what your files, drawings, and notes actually describe. It does not pad the quote with what a job like this usually needs.

  • It is something Quote Assist does not add at all, such as labor, packages, allowances, taxes, or terms.

Why did it not add labor?

Quote Assist builds the product list. Labor, packages, allowances, pricing, taxes, and terms are all yours to add afterward, the same way you always have.

Why is a source greyed out and marked Not usable?

Either it is a link rather than an uploaded file, so there is nothing to read, or the file was opened and produced nothing readable. Uploading a readable copy of the same document, for example exporting to PDF, usually solves it.

What does share of capacity mean?

Quote Assist reads everything you check in one pass, and that pass has a limit. The percentage on each row is how much of that limit the source uses, measured from the file itself rather than guessed. The bar at the top totals up everything you have checked.

If the selection goes over, uncheck something. The percentages tell you which documents are the expensive ones. There is more on this in Quote Assist: Choosing your sources.

Why is there a Process button instead of a percentage?

Nothing has read that file yet, so its size is genuinely unknown. Click Process and Quote Assist reads it and fills in the real number. For Word and Excel files, processing is also what makes the contents readable to Quote Assist in the first place.

Can I run it more than once on the same quote?

Yes. It reads the quote as it currently stands, so it will not blindly duplicate what is already there, and it proposes replacements rather than making swaps on its own. Running it again is also the answer after you cancel a run partway.

I cancelled a run. What happened to the items it already added?

They stay on the quote. Cancelling stops the work, it does not undo it, and the card tells you how many items were added before you stopped it. There is no resume, so if you want the rest, run Quote Assist again.

Can I leave the page while it works?

Yes. The run continues if you navigate away or close the tab. Come back to the Items page and the progress picks up where it left off.

What happens to my catalog?

When Quote Assist matches a line to a product you do not carry, that product is added to your catalog along with the quote line. In the review list, every candidate is badged so you know before you accept whether it is already in your catalog or is about to be added to it.

It picked the wrong product. What now?

Change it the way you would change any line on a quote. If the row is still in your review list, use Pick something else to search for the product you want, which resolves the row into the same room and system.

If you find yourself making the same correction repeatedly, that is worth writing into your quoting best practices so future runs get it right the first time.

Can I just ask for what is missing?

Yes. The chat panel beside the quote can add, change, remove, and move items, create locations, and resolve the rows waiting on your review. It knows which quote you are on, so "add two more ceiling speakers to the Great Room" is enough on its own. If the panel is not showing, open it from the chat icon in the top bar.

The results do not look like the way we quote

That is what quoting best practices are for. An administrator can describe your products, groupings, room and system names, and standing conventions once, and every run follows them. See Quote Assist: Quoting Best Practices.

I do not see Quote Assist anywhere

It is rolling out gradually, so it may not be switched on for your account yet. Beyond that, you need the Create and manage quotes permission, and it is not offered on a quote you only have read access to.
