Why some items need your review
Quote Assist adds what it is confident about and holds back what it is not. Rather than guessing, it leaves those lines on the page for you, in the room they belong to, with everything it found so you can decide quickly.
A banner at the bottom of the Items page counts them: "6 items need your review". The rows themselves sit inline in each room, so you review them where you are already looking rather than in a separate queue.
There are four kinds of flagged row.
Needs review: pick a match
This is the common one. Quote Assist knew what the job called for and found products that could fit, but not one clear enough to add on your behalf.
Click Pick a match on the row to open it. You get a short list of candidate products, each showing the brand and name, the part number, a short description, and price. The strongest one is marked Best match and is selected for you.
Each candidate is also badged with where it comes from, and this matters:
In your catalog means you already carry the product. Choosing it just adds it to the quote.
The other badge warns that the product is not in your catalog yet. Choosing it adds it to the quote and to your catalog at the same time.
Three ways to resolve the row:
Use selected adds the candidate you have chosen.
Pick something else opens a search right in the row so you can find any product yourself. It resolves the row exactly the same way, into the same room and system.
The skip option at the end of the row, None of these, clears the line without adding anything.
Occasionally a pick does not take, usually because a product has since been removed from the D-Tools Library. The row tells you and stays open so you can choose something else.
No match and Failed
These rows are red, always open, and nothing was added to the quote for them.
No match means Quote Assist looked and found nothing in your catalog or the library that fits the line.
Failed means the product it had in mind is no longer in your D-Tools Library, so it may have been deleted or replaced.
Both give you the same two options: Search catalog to find the product yourself, or Dismiss to clear the line off the list.
Read these before you dismiss them. They are the lines the plan called for and the quote does not have, so they are the most likely thing to be missing when you send it.
Replacement: replace or keep existing
You will see these when you run Quote Assist on a quote that already has items on it. Quote Assist believes a planned item should take the place of a line already in that room, either as a different product or at a higher quantity.
The row shows the swap directly, the existing line and quantity on the left and the proposed one on the right, with a sentence explaining why.
Replace swaps the existing line for the proposed one. The line keeps its position, its accessories, and its labor.
Keep existing leaves the quote exactly as it is.
Nothing is changed until you choose. Quote Assist never performs the swap on its own.
Location unclear
If Quote Assist could not work out which room an item belongs in, it does not guess. Those items collect in a Location unclear section at the top of the items list.
Each row asks for two things before it can be filed: a location and a catalog match. Pick a room from the chips on the row, or click New location, type a room name, and click Create & assign to make one. Then pick the match as you would on any other review row.
Dismissing, and what it means
Dismissing a row removes it from your review list for good. It does not come back, and nothing is added to the quote.
If you dismiss something by mistake, the fix is to add the item yourself the way you normally would. Running Quote Assist again will not resurrect it, though it may propose the same line afresh if your sources still call for it.
Or just ask
Everything on this page can be done from the chat panel instead of the rows. Ask "what still needs my review?" to see what is outstanding, and resolve or dismiss items by asking for them by name. On a long review list that is often faster than working down the page.
What review does to your catalog
Accepting a candidate that is not already in your catalog adds that product to your catalog as well as to the quote. That is how the quote ends up with real, priced products rather than placeholders, and it is why the badge on every candidate tells you which case you are in before you commit.
If you find yourself making the same corrections run after run, an administrator can write those preferences into your quoting best practices so future runs start closer to what you want.
