Common questions about what Ask D-Tools can do, what it cannot do, and what to do when an answer looks wrong

Short answers to the questions we hear most often about Ask D-Tools.

Who can use Ask D-Tools?

Office users whose administrator has given them access. Field users are not included.

I do not see the Ask D-Tools icon. Why?

Your account has not been given access. Ask your company's D-Tools administrator, who can enable it from Settings > User Groups without changing any of your other permissions. See Ask D-Tools: Managing access for your team.

Is Ask D-Tools in the mobile app?

Not today. Ask D-Tools is available in D-Tools Cloud in your browser.

Can I use Ask D-Tools from ChatGPT or Claude?

Yes, if your administrator has enabled MCP Access for you. D-Tools publishes a connector called D-Tools Cloud that you can add in ChatGPT, Codex, or Claude, then authorize with your D-Tools Cloud login.

The connection is read only. It can answer questions about your data but cannot change anything. For setup steps, see Ask D-Tools: MCP Connectors for ChatGPT/Codex & Claude.

Can Ask D-Tools change my data?

Not on its own. If you ask it to create or update something, it shows an approval card describing exactly what will happen, and nothing changes until you click to approve. It cannot send a proposal, approve a quote, change pricing, change an opportunity stage, reassign an owner, or delete anything. See Ask D-Tools: Approving actions.

Can it see data I am not allowed to see?

No. Answers are scoped to your own permissions. If part of an answer needed data you cannot view, Ask D-Tools tells you that rather than filling in the gap.

Is my data used to train AI models?

No. When you ask a question, Ask D-Tools sends that question and the relevant D-Tools data to a large language model in order to generate the answer. Your data is not used to train those models.

Ask D-Tools only reaches D-Tools Cloud data, and answers are scoped to your own permissions, so it can never surface data you could not already see. For full detail on how D-Tools handles your information, see our privacy policy.

Why did it refuse my question?

Ask D-Tools is not a general purpose assistant. It answers questions about your D-Tools data and about how D-Tools Cloud works, and declines general knowledge, trivia, coding, and unrelated research.

If your question used D-Tools terms and was still declined, try rephrasing it around the records you want, for example "which customers are in Alabama" rather than a general question about Alabama.

It gave me a number that does not match my report. What should I do?

Tell it so, in the chat. "That is not what the report shows" is a useful message. The usual cause is a filter difference, normally the period or which record it matched, and Ask D-Tools will re-check rather than assume you are wrong.

Can I get the data out?

Yes. Data tables built on the canvas have an Export CSV button that downloads the result exactly as shown, filters and sort included. See Ask D-Tools: Working with the canvas.

Does it remember what I asked earlier?

Yes. Conversations are saved and listed in the chat history panel, where you can search, rename, pin, and delete them. Your chat also stays open as you move between pages. See Ask D-Tools: Managing your chats.

Can it explain how to use D-Tools Cloud, not just report on my data?

Yes. Ask it how a feature works or how to configure something and it answers from the D-Tools Help Center, with a link to the article it used so you can read the full instructions.

It said the data is not available. Is that a bug?

Usually not. Some things genuinely are not stored in D-Tools, and Ask D-Tools is built to say so rather than approximate. Common examples are sales goals or quotas, change order approval status, how long a deal sat in a specific stage, and per-person call or email activity counts.

When it hits one of these, it will normally offer the closest thing it can answer instead.

Does it know what page I am on?

Yes. It reads your current page, your active filters, and the records visible on screen, so you can ask short questions in context instead of describing what you are looking at.

How do I report a bad answer?

Use the thumbs up and thumbs down under any answer, and add a comment describing what you expected. That feedback goes to the D-Tools product team and is the fastest way to get the answers improved.
