Ask D-Tools: Attachments, dictation, and mentions

How to give Ask D-Tools a file, dictate a question by voice, and point it at a specific record

Written by Dave Kirn

The message box does more than take typed text. You can attach a file, speak your question, and point directly at a record instead of describing it.

Attaching a file

Three ways to add one:

  • Click the paperclip icon in the message box

  • Drag the file onto the message box

  • Paste an image straight from your clipboard

What you can attach:

Type

Formats

Size limit

Images

PNG, JPEG, GIF, WebP

2 MB each

Documents

PDF

10 MB each

Useful for a screenshot of something that looks wrong, a supplier spec sheet, or a PDF quote you want summarized against your own data.

Click an image thumbnail to open a larger preview. If you change your mind before sending, use Remove from context to drop the file.

Dictating instead of typing

Click the microphone icon to dictate. The box shows Listening with a running timer while it records.

Click stop when you are done. The text appears in the message box so you can read it and fix anything before you send. Nothing is sent automatically.

If you press send while still recording, dictation stops and the message goes at once.

This is the fastest way to ask a long question, and it is the difference between a question you would have typed and one you actually ask.

Pointing at a specific record

If several records have similar names, do not describe the one you mean. Point at it.

Type @ followed by the record type and a colon, then start typing the name:

  • @project:

  • @quote:

  • @opportunity:

  • @client:

  • @customer:

  • @file:

A list of matches appears. Pick one and it becomes a chip on your message. Click the chip to remove it.

For example, typing @project:maha and picking the match tells Ask D-Tools exactly which project you mean, with no guessing between similarly named jobs.

Asking the next question while one is running

You do not have to wait. Type your next question and it queues up behind the one in progress.

Queued questions can be edited or removed before they run. If you want to abandon the answer in progress, use the stop button next to the message box.
