Ask D-Tools: What it is and how to use it

How to open Ask D-Tools and use it to answer questions about your business data and about D-Tools Cloud itself

Ask D-Tools is an AI assistant built into D-Tools Cloud. It answers questions about your own business data (pipeline, projects, procurement, inventory, catalog, service, billing, accounts, to-dos, and time) and questions about how D-Tools Cloud works. It also builds tables, charts, and written briefings you can export.

Opening Ask D-Tools

Click the Ask D-Tools icon in the top bar of any page. It opens a chat panel docked beside your current screen, so you can keep working while you ask. Click the icon again to close it.

If you do not see the icon, your account has not been given access yet. Ask your D-Tools administrator to enable it. See Ask D-Tools: Managing access for your team.

It knows what you are looking at

Ask D-Tools reads the page you are on, including your active filters and the records visible on screen. That means you can ask short questions in context instead of repeating yourself.

For example, on the Project board with a project visible:

  • Tell me about the Maha project

Ask D-Tools will match the project on screen, then pull the full project health picture rather than just repeating what the card shows.

Open it on a Reports page, an opportunity, an invoice, or the catalog and it behaves the same way.

Two kinds of questions

Questions about your data

Anything about your own records:

  • Which opportunities are most likely to close this week?

  • What should I order next, grouped by supplier and project?

  • Which customers need follow-up across billing, active work, service, and pipeline?

  • What were closed sales last quarter compared with the prior quarter?

Questions about D-Tools Cloud

How a feature works, how to configure something, or how to troubleshoot:

  • How do I set up change order statuses?

  • What does the Fulfillment Location field control?

Starter questions

When you open a new chat, Ask D-Tools suggests starting points based on where you are in the product, grouped by pipeline, projects, procurement, service, inventory, catalog, accounts, billing, and to-dos. Click one to run it, or type your own.

Three general ones are always available:

  • What needs attention today?

  • Summarize business health

  • Find hidden blockers

Where the answers appear

Short factual answers appear in the chat panel.

Anything longer, a record list, a ranking, a comparison, a chart, or a briefing, is built on the canvas next to the chat. The chat gives you the one or two sentence takeaway, and the canvas holds the detail. Governed data tables include an Export CSV button.

Asking a follow-up such as "show percentages" or "narrow that to this quarter" rebuilds the canvas with the change applied. See Ask D-Tools: Working with the canvas.

What it will not do

It will not change your data on its own. If you ask Ask D-Tools to create, update, or send something, it shows you an approval card describing exactly what will happen. Nothing changes until you click to approve. See Ask D-Tools: Approving actions.

It stays inside D-Tools. Ask D-Tools is not a general purpose assistant. General knowledge, trivia, coding, and unrelated research questions are declined. Questions that use D-Tools terms are always in scope, so "Which customers are in Alabama?" works fine.

It only sees what you can see. Answers respect your own permissions. If part of an answer needed data you are not permitted to view, Ask D-Tools says so rather than filling in the gap.

It tells you when data is missing. D-Tools does not store sales goals or quotas, for example, so a question about pace against goal is answered as trajectory against the prior period, with that limitation stated. Ask D-Tools is built to say what it does not know instead of guessing.

Telling us how it did

Under every answer there is a thumbs up and thumbs down, plus a box to add detail. That feedback goes to the D-Tools product team and is the fastest way to improve the answers.
