Creating D-Tools Cloud Calendar feed URLs

How to create calendar feed URLs of the D-Tools Cloud Calendar for use in third-party Calendar apps

You can see the schedule for project tasks and events, service calls, to-dos, meetings, and key dates in various Scheduling views on Cloud. The Scheduling views require you to be logged in to Cloud.

You can view the D-Tools Cloud Calendar schedule in third-party RFC 5545-compliant calendar apps such as Apple Calendar, Outlook Calendar, and Google Calendar by creating a private and read-only calendar feed URL on Cloud and integrating it into the calendar app.

There are 3 Scheduling views for which you can create calendar feed URLs.

#1 Company-Wide schedule

With the company-wide calendar feed URL, you can see the complete schedule for all projects and service calls, the associated to-dos, meetings, and key dates in the calendar app when the URL is integrated into it.

Only users who are part of the built-in Administrator group can create the company-wide calendar feed URL and see the company-wide schedule on a calendar app.

To create a calendar feed URL for a company-wide schedule:

1/ Go to "Settings > Account > Company Profile" in the left navigation menu.

2/ Scroll down to the "Company Calendar Feed" tile.

3/ Click "Generate URL."

You will see a masked URL in the text box below.

4/ Click the "Copy" icon next to the text box with the URL to copy the URL.

The URL will be copied to the clipboard.

#2 Personal schedule

With the personal calendar feed URL, you can see your own schedule for all projects and service calls, the associated to-dos, and key dates in the calendar app when the URL is integrated into it.

To create a calendar feed URL for your personal schedule:

1/ Go to "Settings > Account > My Profile" in the left navigation menu.

2/ Scroll down to the "Company Calendar Feed" tile.

3/ Click "Generate URL."

You will see a masked URL in the text box below.

4/ Click the "Copy" icon next to the text box with the URL to copy the URL.

The URL will be copied to the clipboard.

#3 Project-Level schedule

With the project-level calendar feed URL, all resources assigned to a project can see all the tasks, events, to-dos, and key dates for the project in the calendar app when the URL is integrated into it.

To create a calendar feed URL for a project:

1/ Go to the "Overview" tab in the Project Details view.

2/ Click "View project information" in the "Contract information" tile.

You will see a panel on the left with the project information.

3/ Click "Manage settings" next to Calendar Feed.

You will see the options to manage the project-level calendar.

4/ Click "Generate URL."

You will see a masked URL in the text box below.

4/ Click the "Copy" icon next to the text box with the URL to copy the URL.

The URL will be copied to the clipboard.

Integrate the Calendar feed URL

This article contains steps to integrate the calendar feed URL for company-wide, personal, and project-level schedules into Apple Calendar, Outlook Calendar, and Google Calendar.

You can integrate the URL into any RFC 5545-compliant calendar app by following the steps relevant to the app.

The integration of the calendar feed URL with a third-party calendar app is pull-based. The D-Tools Cloud Calendar feed is updated immediately when the schedule is updated on Cloud, but the calendar app chooses when to poll the feed based on a preset time interval. The following are the time intervals:

  • Apple Calendar - Once an hour; user-configurable

  • Outlook Calendar - 1 hour to 4 hours

  • Google Calendar - Up to 24 hours

While the integration with a third-party calendar can help with schedule visibility outside Cloud, it is recommended that users rely on the D-Tools Cloud Scheduling interface for time-sensitive schedule changes.

Apple Calendar

To integrate the calendar feed URL with Apple Calendar:

1/ Open the Apple Calendar app.

2/ Choose "File," then click "New Calendar."

3/ Paste the feed URL and press Enter.

Outlook Calendar

To integrate the calendar feed URL with Outlook Calendar:

1/ Open the Outlook Calendar desktop app.

2/ Go to "Calendar" in the left navigation menu.

3/ Choose "Add calendar," and then click "Subscribe from web."

4/ Paste the feed URL, add a name for the calendar, and click "Import."

Google Calendar

To integrate the calendar feed URL with Google Calendar:

1/ Open Google Calendar in a browser.

2/ Click "Other calendars" and then click "From URL."

3/ Paste the feed URL and click "Add calendar."

Revoke and Regenerate URL

Once you have created a URL, you can revoke and regenerate it. The revoke and regenerate options are available for all types of calendar feed URLs.

  • When you revoke a URL, the relevant calendar will not show any data.

  • When you regenerate a new URL, you will need to integrate it into the calendar app again.

As a user of the built-in Administrator group, you can revoke all URLs (company-wide, personal, and project-level) by clicking "Revoke all calendar feeds" under "Settings > Account > Company Profile."
