How to reserve the inventory-tracked items in purchase orders for relevant projects

You can reserve the inventory-tracked items (both pool-tracked and asset-tracked) in purchase orders (POs) directly for the relevant projects without having to reserve them from the individual projects they are required for. In addition to checking them into inventory locations, you can update asset-level details and print QR labels for asset-tracked items.

To reserve the inventory-tracked items in a PO:

1/ Go to "Procurement > Purchase Orders" in the left navigation menu.

2/ Go to the Details view of the PO and change its status to "Received."

You will see the Check in received items page with the items in the PO on the left and the options to reserve and update asset-level details on the right.

3/ Here, do the following:

a/ Reserve the required quantity of the item by specifying the quantity in the "Allocate" text box.

The following screenshot shows how to reserve an asset-tracked item for a project.

b/ If you do not want to reserve the entire required quantity, you can specify a lower value in the "Allocate" text box, and Cloud will add the remaining quantity to the On-Hand quantity of the item.

The following screenshot shows how to reserve a quantity less than the required quantity.

c/ Once specified, click "Continue to asset info" in the lower-right corner. You will see the options to update the asset-level details.

d/ Enter the serial number, MAC addresses, IP addresses, and firmware versions of the assets.

e/ Select the location where an individual asset should be checked in from the "Location" dropdown.

f/ If you want to update the firmware, unit cost, or location fields for all assets in one go, select the relevant field from the dropdown at the top, specify the value, and click "Apply to all."

The following screenshot shows how to update the firmware version field for all assets.

4/ Once you have updated the details of the assets, click "Check in & next product."

Cloud will now highlight the next item in the list on the left.

5/ If the item is pool-tracked, you can specify the quantity and location on the right and reserve and move to the next product.

6/ When you have reserved all the items, you can print the QR labels for the asset-tracked items by clicking the "Print QR labels for items" button at the bottom.

If you want to reserve all items in the PO in one go and skip updating asset details, click "Check in all" in the lower-right corner. Cloud will automatically reserve the items to the default location specified under "Settings > Inventory > Locations."
