How to check out the inventory-tracked items reserved for a project

If you are using the Inventory Management functionality on Cloud, you can reserve products that are marked as "Inventory-Tracked in the catalog in projects. The inventory-tracked items reserved for a project are checked out of inventory to provide an accurate count of items available.

Inventory-tracked items are of two types:

  • Pool-tracked: Cloud only tracks the quantity of an item available in inventory locations, and you reserve it only in the quantity required for a project.

  • Asset-tracked: Cloud, in addition to tracking the quantity of an item available in inventory locations, allows you to add asset-level details such as serial numbers, asset IDs, IP addresses, and MAC addresses, and reserve specific items in the required quantity for a project.

The check-out mechanism for pool-tracked differs from that of asset-tracked.

Pool-tracked

The check-out mechanism of pool-tracked items when in the Inventory Pools mode differs from that when in the Inventory Asset Management (IAM) mode.

Inventory Pools mode

The Inventory Pools mode of Inventory Management includes an Inventory setting to check out an inventory-tracked item from inventory if a sufficient reserved quantity is available at a single warehouse location. This setting, in tandem with another Inventory setting to specify the install status that decides when to automatically check out the item of inventory.

If a sufficient reserved quantity is unavailable at a single warehouse location, you can choose the quantity across multiple locations.

Inventory Asset Management (IAM) mode

The IAM mode of Inventory Management does not include the Inventory setting to automatically check out inventory-tracked items from inventory locations. However, the setting to specify the install status to check out is available.

When a pool-tracked item is reserved for a project, only the required quantity is reserved, and the inventory location cannot be chosen.

So, for a pool-tracked item reserved for a project, marking its install status as "Staged," "Picked," or "Installed" will show a modal to select one or more inventory locations from which it has to be checked out.

You can do the following in the modal.

  • Click "Fill" next to a location, then specify that the entire quantity be checked out from that location.

  • Enter the quantity manually, then click the "-" and "+" buttons next to a location to decrement or increment the quantity to be checked out from that location.

  • Click "Clear" next to a location, then specify that no quantity be checked out from that location.

Here is a screenshot showing that clicking "Fill" next to one location specifies that the entire quantity of "3" be checked out from that location.

Here is a screenshot showing that manually specifying the quantities in two locations checks out the required quantity of "3" from two locations.

Once you have selected the quantity, click "Check Out."

Asset-tracked

For asset-tracked items, the inventory location of an item reserved for a project is known when it is reserved. So, marking its install status as "Staged," "Picked," or "Installed" will check it out of the relevant inventory location.

When you change the install status, you will see a modal to check it out of the inventory location. In the modal, click "Check Out" to check the item out of inventory.
