Printing QR labels

How to print the QR labels to paste them on the product packaging

Once you have configured the QR label settings under "Settings > Inventory > QR Labels," you can generate a PDF printout of the QR labels for each asset.

QR labels are handy when there is no individual asset identifier, such as a serial number, and for tracking the asset across projects and service calls.

There are multiple places in the Inventory Management UI where you can print QR labels. Initiating label printing from any of these places triggers a print job with a unique ID that creates a PDF containing labels for the selected assets.

#1 From an inventory-tracked item's details page

To print QR labels from the inventory-tracked item's details page:

1/ Go to "Inventory" in the left navigation menu.

2/ Click the row of the inventory-tracked item.

3/ In the Assets tab, select one or more assets, click the "Action on selected" in the top-right corner, and click "Print QR labels."

4/ Click "Print QR Labels" in the top-right corner of the QR Label Print Confirmation page.

You will see a print job for printing the labels.

Once the job is complete, Cloud will load a PDF with the labels in your browser.

5/ You can download the PDF, print it, cut out the labels, and paste them on the packaging.

In future Cloud releases, you will have the ability to connect a supported label printer to your computer and print labels without having to cut them out from the PDF.

#2 For an individual asset

To print a QR label for an individual asset:

1/ Go to "Inventory" in the left navigation menu.

2/ Click the row of the inventory-tracked item.

3/ Click the row of the individual asset.

4/ Click "Print QR Label" in the top right corner.

#3 When you check in inventory-tracked items

Cloud allows you to print the QR labels as soon as you check in the inventory-tracked items.

The banner at the top of the Inventory page displays the number of checked-in assets that require QR labels. Click the "Check In" button with the printer icon to print QR labels for checked-in assets.

Every time you check in inventory-tracked items, the "Checked In" button to print labels displays the number of checked-in assets that require QR labels.

#4 When you enable Advanced Inventory

Cloud lets you print QR labels as soon as you enable Advanced Inventory.

The banner at the top of the Inventory page displays the total number of assets across all inventory-tracked items that require QR labels. Click the "Inventory Upgrade" button with the printer icon to print QR labels for checked-in assets.

For example, for 5 inventory-tracked items, each with 5 units, the banner will show that 25 assets require QR labels.

Once you start printing QR labels from the inventory-tracked item's details page or the asset details page, the count on the "Inventory Upgrade" button will decrease.

#5 For all assets without QR labels

Cloud has an option to print QR labels for both checked-in assets and assets without labels after the upgrade to Advanced Inventory.

On the banner at the top of the Inventory page, click "Print QR Labels" to see a page listing all checked-in assets and assets without labels after the upgrade to Advanced Inventory.

In the following example, there are 5 checked-in assets, and 32 assets without labels, so clicking "Print QR Labels" will let you print 37 labels.

Viewing the history of print jobs

If you want to view the details of a previous print job, click the "Print History" button at the top-right corner of the Inventory page. This will show all print jobs triggered from when Advanced Inventory was enabled. You can do the following on this page.

  • Search for a specific job by its ID

  • Filter the jobs by date, the user who initiated the job, and status

  • Click the job to view the following details of the job: number of assets for which the labels were printed, the assets for which the labels were printed, their asset IDs, and the Cloud user who initiated the job.

  • Click the "Download" button for a job to download the existing label

  • Click the "Reprint" button to reprint the label, especially if any of the asset attributes have changed after the label was last printed.
