If you have enabled Advanced Inventory on Cloud, you can add asset-level details, such as serial number, IP address, and MAC address, to track them across projects and service calls.
One way to add the details is to import them to Cloud via a CSV file. This article explains how to do that. Another way is to add the details manually in the Cloud UI.
Check out this article for more details.
This article assumes that you have enabled Advanced Inventory, have not yet started updating the asset-level details, and possibly have quite a few assets under the purview of Inventory Management. At this point, Cloud has already assigned unique asset IDs and tracking IDs to the inventory-tracked items.
There are two ways to update the asset-level details of the items. Both use the same Import Asset Items workflow. However, the CSVs they import are different.
#1 Based on the Tracking ID and Asset ID
There are 3 parts to this approach:
1) Leverage the data in the "InventoryWithAssets" CSV file
To download the file:
1/ Go to "Inventory" in the left navigation menu
2/ Click the Download icon next to the Search box at the top of the page.
3/ Click "Export inventory CSV."
You will see a CSV file downloaded to the computer. It contains the asset IDs and tracking IDs of all inventory-tracked items.
2) Prep the CSV file
In the CSV file, enter the serial numbers, IP addresses, MAC addresses, firmware versions, and so on for each asset.
You can enter data in all columns labeled "Importable" at the top.
You can change the asset ID as needed. The asset ID is the complete product name followed by a hyphen (-) and a 3-digit number starting at 001 and incrementing as you check in more items of the same type.
Do not change any other data in the CSV file.
Now, the CSV file has asset-level details mapped to the assets.
3) Import the CSV file
1/ Go to "Inventory" in the left navigation menu.
2/ Click "Import" located at the top of the inventory-tracked items table.
3/ Click "Browse" and upload the updated CSV file with the asset-level details.
5/ Click "Next."
6/ If you have changed column names, map the columns. Otherwise, click "Next."
7/ In the "Review" tab, you will see two tabs:
Matched Assets: If you have followed all the instructions in the "Prep CSV file" section, all assets will appear here.
Invalid Assets: If you have unintentionally changed any of the tracking IDs, you will see those assets here. If so, correct the tracking ID.
8/ Click "Import."
Cloud will import the details of the matched assets.
If you want to overwrite some of the asset-level details, you use the same approach. Cloud will overwrite the relevant details.
#2 Based on Brand, Model, and Part Number
Here, you will download a CSV file with sample data, enter the brand, model, and part number of the inventory-tracked items, add the asset-level details, and import the CSV file.
Some things to note with this approach are:
Cloud will try to match the brand in the CSV with that under Inventory on Cloud. If there is no match, it will try the model and then the part number. If none match, the asset-level details of the row are not imported. If any one of them matches, Cloud will associate the asset-level details of an asset with the matched item under Inventory and do this for matched items.
The number of rows you add to the CSV file should match the total quantity of all inventory-tracked items under Inventory on Cloud. For example, 5 Samsung TVs, 3 Denon Receivers, and 5 Klipsch speakers. To update the asset-level details of all these items, you will need to add 15 rows. If the number of rows is inadequate, Cloud will update only the first few assets of the item.
To import asset-level details:
1/ Go to "Inventory" in the left navigation menu.
2/ Click "Import" located at the top of the inventory-items table.
3/ Click "Download sample file."
You will see a CSV file downloaded to the computer.
4/ In the CSV file, enter accurate item details (brand, model, and part number) and asset-level details.
5/ Complete the Import Asset Items workflow as per instructions shown above.
In this Import workflow:
Matched Assets: If Cloud has a match with the brand, model, or part number, and the tracking ID fields are either blank or have valid values assigned on Cloud. If an asset ID in the CSV file does not match the asset ID assigned to the asset in Cloud, Cloud will overwrite the asset ID with that in the CSV file.
Invalid Assets: If none of the brand, model, or part number is a match, or if a tracking ID value in the CSV file does not match that of the asset for the matched brand, model, or part number.
