Adding a subaccount to an account

How to add one or more subaccounts to an account on Cloud

On Cloud, you can add existing or new accounts as subaccounts to an account and create a hierarchy of accounts. Cloud links the subaccounts to the primary account.

For example, two accounts, "Prime AV Group" and "Top Notch Interiors," are added as subaccounts to the primary account "Alpha Constructions. Inc."

Enable the Subaccount functionality

The Subaccount functionality is enabled by default on Cloud.

You can disable the Subaccount functionality under "Settings > CRM." You will not be able to disable the functionality if any of the accounts have a subaccount. You will need to remove the subaccounts from all accounts to disable the functionality.

Here are some things you need to know about the Subaccount functionality on Cloud.

  • You will need the "Manage subaccounts" permission, or you should be a member of a group that has it, to add subaccounts to accounts.

  • A subaccount is functionally identical to a regular account. The subaccount is merely placed under the primary account. The transactions of the subaccount remain with it and are not transferred to the primary account.

  • An account can be a subaccount of only one account.

  • An account with a subaccount cannot be a subaccount of another account.

  • An account with a subaccount cannot be merged into its own or another account's subaccount and vice versa.

  • Subaccounts, whether of the same account or different accounts, cannot be merged.

  • Two accounts, with one or both having subaccounts, can be merged, and the subaccounts from both accounts will be in the target account.

  • A subaccount can be merged with a regular account and vice versa.

Add subaccounts

There are two ways to add a subaccount to an account.

#1 Link to existing account

To link to an existing account as a subaccount:

1/ Go to "Accounts" in the left navigation menu.

2/ Click the account to which you want to add the subaccount.

3/ In the Account Details view, click the "Subaccounts" tab.

4/ Click "Link to existing account."

5/ In the modal, select one or more accounts that you want to link as subaccounts.

You can use the Search box in the top-right corner of the modal to search for specific accounts.

6/ Click "Add."

You will now see the subaccount under the primary account, indented to the right.

The subaccount will also appear in the Subaccounts tab within the Account Details view.

#2 Add a new account

To add a new account as a subaccount:

1/ Go to "Accounts" in the left navigation menu.

2/ Click the account to which you want to add the subaccount.

3/ In the Account Details view, click the "Subaccounts" tab.

4/ Click "Create account."

5/ In the modal to create the subaccount, add the details of the subaccount.

6/ Click "Create subaccount."

You will now see the new subaccount under the primary account, indented to the right. The subaccount will also appear in the Subaccounts tab within the Account Details view.

Remove subaccount

You can remove the subaccount from an account. Cloud removes the link between the subaccount and the account when you remove the subaccount from an account. The subaccount will be a regular account on Cloud.

To remove a subaccount from an account, click the 3-dot menu of the subaccount in the "Subaccounts" tab, and click "Remove."
