Understanding the sample user groups functionality on Cloud

As you scale your business operations and need more Cloud user accounts, you may need a way to restrict user access by role. For example, Salespeople can only manage opportunities, and the Project Management team can only manage projects.

When you want to restrict user access based on their role, you can add users to one of the sample user groups available by default on Cloud under Settings > Accounts > Users & Permissions.

There are 4 sample user groups:

  • Accounting (Sample User Group)

  • Inventory (Sample User Group)

  • Project Manager (Sample User Group)

  • Sales (Sample User Group)

Each sample user group has the required permissions enabled and other permissions disabled. To view the permissions for a sample user group, click the group; the modal displays the permissions assigned to the group.

To move a user to a sample user group, click the 3-dot menu of the user, click "Edit," and select the sample user group from the Group dropdown.

Here are some things you will need to know about sample user groups.

  • Sample user groups do not tamper with your existing custom user groups. They are distinct user groups with no users assigned. You will need to assign users to these groups manually.

  • Users in the built-in Administrator group can rename or delete a sample user group.

  • Users in the built-in Administrator group can enable or disable permissions in sample user groups as needed.
