Configuring the format of the drawing number

How to configure the format of the drawing number assigned to the drawings in a quote

Written by Ashok P

When a quote includes multiple drawings of different types, you need an easy way to identify and sort them. Cloud provides a way to define a number format for drawings:

  • Based on the drawing type, dynamic values from the quote, fixed text, and separators.

  • By assigning an automatically incremented Sequence ID based on a start number and padding

Once you configure the number format for drawings, Cloud assigns sequential numbers to all drawings in a quote, along with the fields you defined in the format.

Building blocks

The following are the building blocks for configuring the drawing number format.

Field

You can use the following fields to configure the drawing number format.

  • Type

  • System

  • Quote name

  • Text

  • Sequence

Value

For each field you add to the drawing number format, Cloud automatically assigns a relevant value or lets you assign one.

Field

Assignment

Example

Type

Automatic

An abbreviation for the drawing type.

  • PLN for plan view

  • CNN for connection view

  • IMQ for image quote

  • WHB for whiteboard

  • CVR for cover page

  • INX for index page

System

Automatic

System applies only when you create and save connection view drawings for one or more systems. Cloud assigns connection view drawings an abbreviation of the selected system.

For example, AUD for Audio system, VID for Video system, and CTRL for Control system.

Quote name

Automatic

The characters of the quote name. For example, "DAVEGYM"

Text

Manual

An alphanumeric string that you can add to the format. For example, "ABCdesign"

Sequence

Manual

An alphanumeric string you can add to the format. For example, "SDTeam1"

Length

Length is the number of characters shown for a field value used in the drawing number format, after ignoring spaces and special characters in the original value. For example, using the "Quote name" field with a length of 7 shows "DAVESOF" in the drawing number when the quote name is "DAVE'S OFFICE."

You can set the "Length" value from "1" to "10".

Seperator

A "Separator" is a special character used to separate 2 fields in the drawing number format. You can select from the following separators.

  • Hyphen (-)

  • Forward slash (/)

  • Colon (:)

  • Period (.)

Start number and Number padding

  • The start number defines the first sequential ID assigned to the first drawing in a quote.

  • The number padding defines the length of the sequence ID. The maximum allowed length is 5.

For example, with a start number of 100 and number padding of 5, the first drawing is assigned ID 00100, the second 00101, and so on.

Configure drawing number format

To configure the drawing number format:

1/ Go to "Settings > Drawing > Drawing Number Format" in the left navigation menu.

2/ Click "Add" to add fields to the format and do the following for each field:

a/ Set the value if you need to set it manually.

b/ Set the length of the field.

c/ Set the separator that should appear after every field.

3/ Specify the start number and number of digits for padding.

You can preview the configured format.

The following screenshot shows the drawing number format with 5 fields.

4/ Click "Save" to save the format.

The following screenshot shows drawings in the Drawing Manager interface of a quote with assigned drawing numbers.

Key notes

Here are a few things you need to know about the drawing number format.

  • You can define a drawing number format without using any fields. In this case, Cloud assigns drawing numbers based on the start number and padding. For example, with a start number of 1 and padding of 3, Cloud assigns drawings 001, 002, and so on.

  • You can assign a custom drawing number when you create it.

  • If you change the format under "Settings > Drawings > Drawing Number Format" after you have already created drawings in a quote, the new format applies only to drawings you create after the change.
