A "Subscription" is a type of item on Cloud that can be used to earn recurring revenue. For example, a software license subscription that is billed monthly for a year.
Subscriptions are added and managed in the catalog. A subscription has a few things associated with it:
Length - the total duration for which the subscription service will run.
Billing Frequency - the billing intervals of the subscription.
Contract - the subscription service created on Cloud when the customer accepts the proposal with the subscription.
Automatic Renewal - an option to automatically renew the subscription service when the original duration of the service is over.
You will need to add the subscription to a quote and sell it via a proposal. Once the customer accepts the subscription, you can start the subscription service, manage billing via invoices, and collect payment.
Add subscriptions to the catalog
There are a few ways to add subscriptions to the catalog. You can add products that can be sold as subscriptions from the D-Tools Library to your product list. You can also create your own subscriptions from scratch.
If you have been selling software licenses as regular products, you can convert such products to subscriptions.
Check out this article for all ways to add subscriptions.
Sell subscriptions
There are two ways in which you can sell subscriptions.
Standalone items
You can add subscriptions to a quote as a standalone item within the "Subscriptions" tab. These subscriptions will be displayed within the "Subscriptions" section of the proposal.
Associated with products
Here, you associate a subscription with a product, like how you would associate an accessory. For example, associate a Microsoft Windows 11 OS license with a laptop.
Check out this article for more details.
When the product is added to the quote, you will be prompted whether you want to add the subscription.
In the proposal, the subscription can be shown either under the associated product or within the "Subscription" section of the proposal.
Subscriptions in the quote
To add a standalone subscription to the quote, go to the "Subscriptions" tab in the left pane of the Quote Details view, type in the name of the subscription in the Search bar, and click "Add" to add it.
Subscriptions that come with products will be shown indented under the product and the "Subscriptions" tab.
You can click the subscription and edit its details in its side panel.
Check out this article for more details.
Subscriptions in the proposal
In the proposal, you will find a new section named "Subscriptions." This section will list the standalone and associated subscriptions.
You can also choose to display subscriptions associated with products within the "Product" section of the proposal. To display these, go to the "Accessories, Labor & Subscriptions" tab and set "Show Subscriptions" to ON.
You will have some options to customize how subscriptions are displayed on the proposal.
Check out this article for more details.
Manage subscriptions
Once the customer accepts a standalone or associated subscription in the proposal and you mark the opportunity as "Won," Cloud will create an entry for the subscription service under "Service > Subscriptions."
Here, you can start and manage the subscription throughout its lifecycle.
