When you have a sufficient quantity of inventory-tracked items available, you can manually reserve them for projects. When you reserve inventory-tracked items, the Available quantity of the items will decrement.
The capabilities for reserving items for projects differ between Advanced Inventory and Basic Inventory.
If you have enabled Basic Inventory and want Cloud to automate the process of reserving inventory-tracked items, check out this article.
Basic Inventory
With Basic Inventory, you can reserve the required quantity of inventory-tracked items for the project.
You can reserve inventory-tracked items in two ways:
#1 Within the project
You can reserve multiple inventory-tracked items for the project in one go.
1/ Go to the Project details view.
2/ Click the 3-dot menu next to the project number at the top left corner and click “Project inventory items.”
This will open a modal with all inventory-tracked items in the project. You will see the required quantity for the project and the available quantity. In each item row, Cloud will specify the required quantity.
3/ Click “Reserve” next to the items you want to reserve.
If you reserve the required quantity, the "Reserve" option will be inactive.
If the required quantity of an inventory-tracked item is not available, you can still reserve a few and schedule their installation. You can always come back to this workflow and reserve more.
#2 From the item’s side panel
You can view an inventory-tracked item and reserve it for multiple projects simultaneously.
1/ Go to the “Inventory.”
2/ Click the inventory-tracked item you want to reserve.
This will open its side panel.
3/ Hover over the “Available” tile, and you will see the “Reserve for projects” button.
4/ Click the "Reserve for projects” button.
This will open a modal listing all projects that require this item.
5/ Do one of the following:
In the project rows, enter the quantity you want to reserve for the project, and click "Reserve."
If you want to reserve the relevant quantities for all projects, click "Reserve all."
Advanced Inventory
With Advanced Inventory, you can reserve the required quantity of inventory-tracked items for the project by selecting specific items from the available quantity.
You can reserve inventory-tracked items in two ways:
#1 Within the project
1/ Go to the Project details view.
2/ Go to "Details > Item Status" in the details view, in the Ordering or Scheduling view.
3/ Select the inventory-tracked items in the project and click "Order" or "Schedule" in the top-right corner, and click "Manage inventory assets."
You will see options to reserve specific assets for the project at different locations on the work site.
You can use the Search box and the location and received date filters at the top to limit the assets that you want to reserve for the project.
4/ Click the down arrow for every item in every location, and select the required quantity of assets by their serial number.
5/ Once you have selected the assets, click "Reserve selected" in the top-right corner.
6/ After you reserve the assets, if you want to look at assets that have been reserved, set "Show Reserved Only" to Yes. The other assets in the inventory will not be shown.
Once the asset is reserved for a project, the product-specific page under Inventory will show the asset as Allocated, along with the project or service call to which it is allocated.
#2 Using the handheld scanner
You can use a handheld scanner to scan the item's serial number or QR label or enter specific asset attributes, such as serial number, IP address, or asset ID, to reserve the required quantity of inventory-tracked items for a project.
After you find the asset you want to allocate, you will see the options to choose the project and the location at the work site to which you want to allocate the asset. You can use the same workflow to allocate all inventory-tracked items for the project.
