Checking in the initial on-hand quantity of an inventory-tracked item

How to specify the day-one, on-hand quantity of the inventory-tracked items

When you start using the Inventory Management functionality and mark products as inventory-tracked items, you will need to set their initial on-hand quantity to reflect what you currently have in your inventory locations.

If you have specified the on-hand quantity via the CSV file export and import described in this article, you don’t need to set the on-hand quantity using the instructions in this article.

To set the initial on-hand quantity of an inventory-tracked item:

1/ Go to “Inventory” and click the inventory-tracked item.

2/ In the side panel for the item, click "Set initial stock."

In the modal, you will see the fields to enter a quantity and select an inventory location.

3/ Select an inventory location and enter the quantity stocked at the location.

4/ If the product is stocked across multiple locations, click the “+” icon on the right, add the quantity, and select the next location.

5/ After specifying the quantity and locations, click “Check in.”

Cloud will now total the quantity across multiple locations as the on-hand quantity of the inventory-tracked item.

Check in the initial on-hand quantity for all inventory-tracked items so Cloud can show an accurate count of their on-hand quantity.

From now on, when you mark a purchase order (PO) with inventory-tracked items as “Partially Received” or “Received,” you will be asked to check them into inventory locations. Cloud will automatically update the on-hand and available quantities.

If you are not using the Purchase Orders functionality on Cloud, Cloud cannot automatically update the on-hand quantity. You will need to update the on-hand quantity when you replenish inventory-tracked items.
