By default, when you mark an item as an inventory-tracked item, you will have the option to check in the initial on-hand quantity and specify the inventory locations where the quantity exists.
Also, if you have specified the initial on-hand quantity via the CSV file export and import described in this article, you don’t need to set it using the instructions in this article.
However, if, for some reason, you have not specified the initial on-hand quantity, you can do so in both the Inventory Pools and Inventory Asset Management modes.
Inventory Pools mode
To set the initial on-hand quantity in the Inventory Pools mode:
1/ Go to “Inventory” in the left navigation menu.
2/ Click the inventory-tracked item.
3/ In the side panel for the item, click "Set initial stock."
In the modal, you will see the fields to enter a quantity and select an inventory location.
4/ Select an inventory location and enter the quantity at the location.
If the product is across multiple locations, click the “+” icon on the right, add the quantity, and select the next location.
5/ After specifying the quantity and locations, click “Check in.”
Cloud will now total the quantity across multiple locations as the "On-Hand" quantity of the inventory-tracked item.
IAM mode
The steps to set the initial on-hand quantity for both asset-tracked and pool-tracked (items that you have individually switched to the Inventory Pools mode) items are the same.
To set the initial on-hand quantity in the Inventory Pools mode:
1/ Go to “Inventory” in the left navigation menu.
2/ Click the inventory-tracked item.
3/ In the Details page of the item, click the "By Location" tab.
4/ Click "Check In" next to a location where the item exists and enter the quantity of the item.
If the product is across multiple locations, click the “+” icon on the right, add the quantity, and select the next location.
The following screenshot shows how to check in the initial on-hand quantity of a pool-tracked item in the IAM mode.
5/ After specifying the quantity and locations, click “Check in.”
Update On-Hand quantity
Once you have updated the initial on-hand quantity, here is how to keep it up to date without manual intervention.
Inventory Pools mode
When you mark a purchase order (PO) with inventory-tracked items as “Partially Received” or “Received,” you will be asked to check them into inventory locations.
