D-Tools Cloud release R103 was made available to customers on October 8, 2026.
The following new features and improvements were released in D-Tools Cloud R103.
Accounting and Payments
▶ Itemized Invoicing
Bill for exactly what you delivered. Alongside milestone invoicing, you can now create an itemized invoice for specific equipment, labor, and adjustments on a project — including partial quantities and hours — starting from the payment page, Item Status, or the Bill of Materials.
Each item shows what's already been invoiced and what's still available to bill, so you always know where a project stands, and itemized invoices flow into your project totals and accounting integration the same way milestone invoices do.
▶ Deposit Collection Default for Quotes
Use the Quote Deposit Default setting to control how deposits are collected through D-Tools Payments. Set deposit collection to ON or OFF by default to prevent accidental collections and save time by eliminating the need to adjust this preference on every quote manually.
▶ Enable Asynchronous Exports for D-Tools Payments Reports
We’ve expanded CSV downloads for D-Tools Payments reports to support larger date ranges, including a full year of data. Keep working while your Payment, Deposit, or Chargeback report is prepared, track its progress, and download it when it’s ready. You can also review your export history to access previously generated reports.
Catalog
▶ Bulk Edit Supplier / Category / Labor / Phase / Pricing Across Products
Multi-select items in the catalog and edit supplier, category, labor (installation) hours, phase, pricing, and active/discontinued status across the whole batch in one operation. Each field supports leave unchanged, set to, or clear semantics, with financial fields gated by the existing view-cost and view-price permissions.
▶Sales can add D-Tools Library products to quotes without catalog-creation rights
Keep catalog creation with the team that owns it — without cutting Sales off from the D-Tools Library. A new permission controls library access on its own, so your Sales team can search the Library and quote vetted products, while only Operations can hand-create new SKUs.
Existing users keep everything they have today; the new permission is granted automatically at release, and admins can tighten it whenever they're ready.
▶ Show short description when adding and viewing accessories
Pick the right accessory the first time. Short descriptions now appear as you search for accessories and in the product's accessory list, so you can identify items with cryptic part numbers without opening each one.
▶ Delete for inactive products + honest "in use" messaging on remove
Clean up your catalog with confidence. You can now delete inactive products, and when an item can't be deleted because it's still referenced somewhere, we'll tell you which items were removed, which were kept as inactive, and why—instead of leaving you to guess.
▶ Show phase in the product labor list
Know at a glance which phase each labor line belongs to. Product labor now shows the phase right in the list, so you can easily tell multiple lines with the same name apart without opening them one by one.
▶Open and edit accessories from inside the package editor
Accessory rows in the package editor get the same row actions parent items already have, so you can open an accessory's catalog item and edit it in place. Today, adjusting an accessory means leaving the package, finding the item in My Products, editing it, and navigating back. Changes save and reflect in the package view immediately — no manual refresh, no lost context.
CRM
▶ Activate the Accounting Mapping Indicator to Open the Account in QuickBooks or Xero
The mapping indicator on the Edit Account page becomes a one-click path to the matching account in QuickBooks or Xero.
When an account is mapped, click the indicator to open its counterpart directly in your accounting system, ready to review or edit—no switching apps or searching for the right account.
▶ Move the To Do Tab Next to History on the Edit Account Page
The To Do tab now sits beside the History tab, so the two related sets of records are together instead of at opposite ends of the tab strip.
Drawings
▶ Comment Table Enhancements (Canvas-anchored behavior + Text Size Controls)
Phase 1 (this iteration): Implement canvas-anchored comment table with drag repositioning, session-scoped text-size controls, keyboard accessibility, and bounds.
Phase 2: Optionally persist per-user across sessions, support multiple open tables with shared state controls, and expose an accessibility preference to override default scaling.
Phase 3: Consider global table settings and integration with app-level accessibility font-size preferences.
▶ Rack View Selector (Multi-Orientation Rack Elevation)
Phase 1 (this release): Implement toolbar View control, single and supported two-view layouts, generated side/top/back geometry fallback, persistence of view state, PDF export parity.
Phase 2: Add rear advanced cabling visualization, interactive rear-IO editing, synchronized zoom/pan option, allow Top to participate in two-view combos, per-pane annotation export.
Phase 3: Full 3D rotational view and dynamic cable-routing simulation.
▶ Rack Size (Rack Units) Selector and Capacity Management
Phase 1 (MVP): Toolbar + Details Rack Size selector; default 42U; canvas numbering update; block saving on conflicts with modal; persistence.
Phase 2: Replace Rack UI + catalog search; preservation preview; recalculation hooks for power/thermal/PDU.
Phase 3: Admin option to optionally persist rack-size override back to global catalog; refinement of compatibility scoring and bulk operations.
Inventory
▶ Adjust On-Hand Quantity dialog: decrease-that-releases doesn't save (silent data loss) + unguarded increase acts as a back-door receive
Fix the "Adjust" On-Hand Quantity mechanism so that decreases that release reserved stock save correctly, and prevent unauthorized inventory increases through the same dialog.
▶ Pick List report: add a "Not Yet Allocated" section (pick the whole project before allocating)
Adds a new “Not Yet Allocated” section to the Project Pick List PDF report so warehouse teams can pick an entire project before allocation. Shows remaining needed quantities and candidate warehouse locations without creating reservations or changing inventory.
▶ Filter project items by Reserve Status
Filter project items by reserve status so teams can quickly find unreserved, partially reserved, or fully reserved items without manually scanning large project lists.
▶ Add "Delivered to Site" install status (delivered, not yet installed)
Track equipment that's been delivered to the job site but not yet installed.
▶ Reversing received qty and PO/line delete cleans up inventory
Keep inventory accurate when you correct or remove received purchase-order items. If you reduce a received quantity below what has already been checked in, or delete a purchase order or individual line with inventory attached, Cloud will clearly show the inventory impact before anything changes. For serialized asset-tracked products, you can identify the specific units to remove; for pooled inventory, Cloud adjusts the correct warehouse quantity.
Cloud protects items that are already allocated, checked out, or installed, with clear guidance on what must be resolved first. This prevents orphaned stock and inflated on-hand counts, helping availability, reservations, reordering, and reporting stay reliable.
Opportunities
▶ Add Product and Labor Combined Base Options to Calculate Price for Allowances
Allowances can now be based on combined product and labor. Two new base options — Product and Labor Cost, and Product and Labor Price — let you set a percentage against the combined product-and-labor total in a single allowance, instead of building two separate allowances to reach the same number. The base drop-downs are also cleaner, with values listed alphabetically. Existing allowances are unaffected.
▶ Hide the Signature When Accepting a Proposal
You can now choose whether to collect a signature when a client accepts a proposal, or have them accept it. Set it on a proposal template so every proposal inherits it, or change it on an individual proposal — available for opportunity and change order proposals and templates.
▶ Add Actionable Guidance to the "Proposal Too Large to Save" Warning
When a proposal is too large to save, Cloud now explains why and what to do instead of just saying the content is too large. The updated message points to the most common cause — images pasted directly into text fields — and directs you to the Upload an Image action, which compresses the image and often brings the proposal back under the size limit so it can be saved. The result is a clear, self-serve path out of a save error that previously left users stuck.
▶ Check for Invalid Address When Editing an Opportunity Address
D-Tools Cloud now checks the address when you edit an opportunity address and tells you right away if it's incomplete or invalid—the same way it already does when you add an address. Because tax is calculated from the address, catching problems at the point of entry helps keep your quotes and orders taxed correctly.
Depending on your Opportunity Settings, you'll either see a warning you can acknowledge and continue past, or be stopped until the address is corrected.
▶ Create Opportunity Permission
Today, anyone who can see Opportunities can create them — which means duplicate and unwanted records from users meant only to work within existing ones. The new Create New Opportunity permission lets you control that: turn it off for a role and every add and copy action is disabled, with hover text explaining why, while editing and deleting stay available. It's on by default, so nothing changes until you decide it should.
▶ Move Proposal and Proposal Template Settings Into a Right Slide-Out Panel
The settings icon on Proposals and Proposal Templates now opens a slide-out panel on the right side of the screen instead of a small pop-up window.
▶ Add Company and Quote ID to the Proposal Signature Section
The signature section on a signed proposal now includes a third line showing the Company and Quote ID alongside the signee's details.
▶ Collect Purchase Order Number for a Quote
Clients won't always pay an invoice that doesn't reference their purchase order number, but there's nowhere to record it on a quote today — so it's tracked in email and rediscovered at invoicing time. A new Purchase Order field captures it on the quote, with a permission controlling who can edit it.
▶ Log Purchase Order Number Changes on a Quote
A purchase order number authorizes the work and drives whether an invoice gets paid, so when it changes, people need to know who changed it and when. Every time a quote's PO number is set, changed, or cleared, Cloud writes an activity record to the quote showing the old and new value.
▶ Add Proposal Configuration Permission to Restrict Proposal Look, Feel, and Behavior Edits
A new Manage proposal configuration permission separates proposal creation from configuration, so your proposals stay consistent and on-brand. Turn it off for a role, and those users see the configuration screens as read-only — they can still create proposals, change or sync the template, download the PDF, present, share, and review.
▶ Add Manage Quote Taxes and Tax Settings Permission to Restrict Who Can Change Tax Configuration
A new Manage Quote Taxes and Tax Settings permission lets you limit tax configuration to the people who should own it, while everyone else continues to quote normally. With it off, tax settings, tax rates, and the taxable controls on a quote become read-only.
▶ Log a Quote Activity When the Automatically Set Taxes Based on Project Address Toggle Changes
Changes to the Automatically Set Taxes Based on Project Address setting are now recorded in the quote's activity log, showing who changed it, when, and what it changed from and to.
Tax settings have real financial impact, so you can now see the history of this setting on a quote instead of guessing why its tax behavior changed.
▶ Warn Before Saving a Change to the Automatically Set Taxes Based on Project Address Toggle
Changing the Automatically set taxes based on project address setting on a quote can overwrite manual tax edits you've already made. A confirmation now appears when you save that change, so you can review your taxes before committing — or cancel and keep working without losing what you've entered.
▶ Quote Specific Starter Prompts in Ask D-Tools
When you open Ask D-Tools inside a quote, the suggested questions now match what you can actually do there: check what needs review, summarize the quote, and see what is in each location. Previously, it offered pipeline and forecasting questions from the Opportunities list.
▶ Add Delete to Opportunity Stages
You can now delete an opportunity stage you no longer need, directly from the Opportunity Stages grid. Stages in use, or the last one covering a required system state, are protected and cannot be removed.
Procurement
▶ Needed By date on requested products with at-risk order alerts
Set the date each requested product needs to be on site, then see at a glance which orders will miss it. Procurement can sort and filter the Ready to Order list by need date and get a clear warning when a supplier's expected arrival is too late for the install.
Project Management
▶ Billing & Payments - Actionable Payment Terms
Know exactly where each project stands on getting paid - right from the project dashboard. Every payment milestone shows its status and key dates at a glance, clearly flags anything overdue so it doesn't slip through the cracks, and lets you send the next invoice in a single click.
Spend less time chasing details, bill faster, and get a clearer view of your cash flow.
Job Status budget & hours-burn view
See at a glance whether a job is on budget, not just how far along it is. Project Overview gains a new Job Status view that shows how much of your product budget you've committed to purchase orders and how many sold labor hours you have used, broken out phase by phase. Hence, an overrun shows up while you can still do something about it. Click a phase to go straight to what is driving it - it's items when you are looking at products, it's tasks when you are looking at hours.
▶ Calendar Event & Resource Colors
Set your calendar colors once, for the whole company. Admins can choose a color for each item type on the calendar, and, if they want, for individual Project Task and Service Call statuses, plus a unique color for each resource that appears as a ring around their avatar.
Everyone then sees the same, consistent colors across every calendar, making it easy to tell at a glance what each item is and who it's assigned to.
▶ One shared answer for whether a resource is free
Every scheduling screen gets the same answer on whether someone is free, counting all their commitments rather than just some. A half day off now blocks only that half day instead of the whole day.
Public API
▶ Self Serve API Access
Start building the same day. API access is now self-serve: an account admin turns it on in Settings → Integrations and can generate a key right away, with no support request and no waiting period. A new permission lets you decide who in your company can hold an API key, so your developer can work without also getting billing access.
Service
▶ Service Schedule: Block Off Time
Block off time directly on the service schedule. Flip a single Block toggle when creating a schedule entry to hold time, mark a technician unavailable, or reserve time for a specific service call, with no technician assignment required. Blocks cover the whole day by default and can be narrowed to a specific time window or extended across several days, showing up as clearly marked blocked-off time on your service, project, and global calendars. Blocked time also counts toward resource availability, so anyone scheduling over it sees the conflict up front, while still letting you override when you know it is fine. No more placeholder visits or holds tracked outside the system.
▶ Service contracts: billing status column and clearer contract status labels
See at a glance which service contracts need payment attention, right from the service contracts list, whether an invoice is overdue, a card payment failed, or nothing has been billed yet. Contract statuses are also clearer, so you can tell a contract that hasn't started yet from one that's currently running.
UI/UX
▶ User Experience Improvements to Global Actions (Messages, Notifications, etc.)
The notifications, messaging, and calendar panels in the header will open and close in the same place and size. Ask D-Tools keeps its docked layout with a matching header.
