If you have enabled the Inventory Asset Management (IAM) mode on Cloud, you can add asset-level details, such as serial numbers, IP addresses, and MAC addresses, to track assets across projects and service calls.
Another way is to add the details manually in the Cloud UI.
Check out this article for more details.
When you import asset-level details for asset-tracked items, you have already brought the items under Inventory Management using one of the methods described in this article, and Cloud has already assigned unique asset IDs and tracking IDs to the inventory-tracked items.
There are two ways to update the asset-level details of the items. Both use the same Import Asset Items workflow. However, the CSVs they import are different.
#1 Based on the Tracking ID and Asset ID
There are 3 parts to this approach:
1) Leverage the data in the "Inventory" CSV file
To download the CSV file:
1/ Go to "Inventory" in the left navigation menu
2/ Click the "Download" icon next to the Search box at the top of the page.
3/ Click "Export inventory CSV."
The CSV file is downloaded to your computer. It contains the asset IDs and tracking IDs of all inventory-tracked items.
2) Prep the CSV file
In the CSV file, enter the serial numbers, IP addresses, MAC addresses, firmware versions, asset condition, and so on for each asset.
You can enter data in all columns labeled "Importable" in the top-most row.
You can change the asset ID as needed. The asset ID is the complete product name followed by a hyphen (-) and a 3-digit number starting at 001 and incrementing as you check in more items of the same type.
Do not change any other data in the CSV file.
Now, the CSV file has asset-level details mapped to the assets.
3) Import the CSV file
1/ Go to "Inventory" in the left navigation menu.
2/ Click "Import" located at the top of the inventory-tracked items table.
3/ Click "Browse" and upload the updated CSV file with the asset-level details.
5/ Click "Next."
6/ If you have changed column names, map the columns. Otherwise, click "Next."
7/ The "Review" tab contains two sub-tabs:
Matched Assets: If you have followed all the instructions in the "Prep CSV file" section above, all assets will appear here.
Invalid Assets: If you unintentionally changed any tracking IDs, you will see those assets here. If so, correct the tracking ID.
8/ Click "Import."
Cloud will import the details of the matched assets.
You can use the instructions in this section to overwrite the asset-level details you have previously specified.
#2 Based on Brand, Model, and Part Number
Here, you will download a CSV file with sample data, enter the brand, model, and part number of the asset-tracked items, add the asset-level details, and import the CSV file.
Some things to note with this approach are:
If you try to upload asset-level details for an item that isn't yet under Inventory, you'll see an error stating that the item needs to be asset-tracked to update its details.
Cloud will try to match the brand in the CSV to the one under Inventory on Cloud. If it doesn't find a brand match, it will try the model, then the part number. If none match, Cloud does not import the row's asset-level details. If any match, Cloud associates the asset-level details with the matched item in Inventory and repeats this for each matched item.
The number of rows you add to the CSV file should match the total quantity of all inventory-tracked items under Inventory on Cloud. For example, 5 Samsung TVs, 3 Denon Receivers, and 5 Klipsch speakers. To update the asset-level details of all these items, you will need to add 15 rows. If you don't provide enough rows, Cloud will update only the first few assets of the item.
To import the asset-level details:
1/ Go to "Inventory" in the left navigation menu.
2/ Click "Import" located at the top of the inventory-items table.
3/ Click "Download sample file."
A CSV file, "InventoryItems," is downloaded to your computer.
4/ In the CSV file, enter accurate item details (brand, model, and part number) and asset-level details.
5/ Complete the Import Asset Items workflow as per instructions shown above.
In this Import workflow:
Matched Assets: If Cloud matches the brand, model, or part number, and the tracking ID fields are either blank or have valid values assigned on Cloud. If an asset ID in the CSV file does not match the asset ID assigned to the asset in Cloud, Cloud will overwrite the asset ID with that in the CSV file.
Invalid Assets: If none of the brand, model, or part number matches, if the item is not yet under Inventory, or if a tracking ID value in the CSV file does not match the asset's tracking ID for the matched brand, model, or part number.
