Once you send the purchase order (PO) to the supplier, you can update shipment delivery details in the PO.

Before arrival

You can update the following details after you place the order and before it arrives.

Shipment tracking number

Click the "Shipment Tracking #" tile in the top-right corner of the PO and enter the shipment tracking number.

Expected time of arrival

In the "ETA Date" column for the product, enter the expected delivery date provided by the supplier. This can differ for products in the same PO if they are not delivered in a single shipment.

If this date is beyond the "needed-by" date set for a product, Cloud shows an alert in the ETA Date column. You may need to ask the supplier to expedite or discuss rescheduling the installation internally.

Item tracking number

If the products in the PO are delivered as multiple shipments, you can update the relevant tracking numbers in the "Item Tracking Number" column.

After arrival

You can update the following details after the order has arrived.

PO status

  • If you receive all products in the PO, mark the PO as "Received."

  • If you receive only a few products and the entire order is delivered in multiple shipments, mark the PO as "Partially Received."

Received quantity

If the PO is partially received, enter the received quantity in the "Received Qty" column for each product.

  • You can increase the received quantity if a product quantity is delivered in multiple shipments.

  • You can decrease the received quantity if one or more products are damaged and you don't want to count them towards available stock.

If the product whose received quantity you are increasing or decreasing is not an inventory-tracked item, you only need to update the received quantity.

If the product is inventory-tracked, then you need to do the following:

Increase quantity

The first time you update the quantity, check in or reserve the product by clicking the "Check In" button in the top-right corner.

Check out this collection of articles for more details.

The second time, when you increase the quantity, Cloud prompts you to check in or reserve the added quantity.

You need to do this every time you increase the received quantity until it equals the ordered quantity.

Decrease quantity

If you want to decrease the received quantity after you've already checked it in, Cloud prompts you to provide a reason.

If you are decreasing the quantity of a pool-tracked product, select the quantity to reduce in one or more inventory locations, and click "Remove."

The following condition applies:

  • You should have enough quantity across inventory locations.

If you are decreasing the quantity of an asset-tracked product, select the asset to remove from inventory, then click "Remove."

The following conditions apply:

  • You cannot remove an asset that is already installed.

  • You need to unallocate the asset from a project or service call before you remove it.
